Rental Process
Q : What documents will I require when renting the vehicle?
A : Drivers licence and credit/charge card, purchase order or pre paid voucher.
Q : Can I pay cash?
A : Yes, Executive Hire Cars will require a cash bond in addition to the payment of the rental charges, which will be based on the length of rental and type of vehicle rented. You will also be required to complete a cash qualification form before the rental can take place.
Q : When do I get my cash bond back?
A : At the end of the rental when all the charges have been settled we will refund your bond. This will usually take about 14 days and will be paid by Electronic Funds Transfer (EFT) to your nominated bank account or by cheque.
Q : Why can I not get my bond back in cash?
A : For the safety of our staff and customers we do not keep cash on the premises.
Q : What ID will I need to bring with me?
A : As much as possible. We will require a valid drivers licence and any other photo ID you can provide will be helpful (passport is especially good). If you have a bill addressed to you at home (telephone, power company etc) that may also assist.

Credit Cards
Q : Credit Cards?
A : When renting with a credit card, the renter’s name must match the name on the card.
The signature on the back of the card must match the name imprinted on the card.
All charges are debited to the credit card at the time the vehicle is rented (rather than returned).

Q : Debit Cards?
A : Debit cards can not be used as a deposit at the beginning of the rental, and can only be used for payment when returning the vehicle.
A debit card is considered to be any non-credit card bearing the Visa or MasterCard logo.
Any other non-credit card without the Visa or MasterCard logo is not accepted.

Reservation
Q : What is a Reservation?
A : A reservation is confirmation of a vehicle which is reserved for a customer at a particular location, on a specified date, at an agreed upon price. In order to confirm your reservation we will send you an email to the address you provide.
Vehicles are reserved by rate code and vehicle category.
Reservations can be made for all Executive Hire Cars locations throughout Australia.
Rates are valid until further notice.
Q : Do I have the right to cancel?
A : You may cancel or amend your reservation at any time up to 24 hours before the rental is due to commence, by emailing to us written notice of your intention to cancel or amend your reservation on-line via the existing reservations button. Your notice of cancellation or amendment shall be effective from the date it is sent.
You have a Cooling Off Period in which to cancel your reservation, of seven working days from the date you receive confirmation of your reservation by email. Working days are all days except Saturdays, Sundays and Public Holidays. The confirmation email shall be deemed to be received when we receive conformation that it has been sent successfully.
When a reservation is made less than seven Working Days before the start of the rental the right to cancel will expire at the commencement of the rental. In making a reservation less than seven working days before the commencement of the rental you accept this shortening of the Cooling Off Period.
Working hours shall be defined as any hour between 8:00 and 18:00 on week days and 8:00 and 13:00 on Saturdays except where the working hours of the branch where the rental is to commence are different. For the avoidance of doubt we will notify you of the working hours of the relevant branch in the confirmation of your reservation.

Delivery & Collection
Q : Will Executive Hire Cars deliver and collect the car?
A : Yes, usually for no charge, to Perth metropolitan Hotels apply. Delivery & Collection Fees apply to other areas, including Perth International Airport and Perth Domestic Airport.
Q : What is a Premium Location Fee?
A : This fee is payable at airport and other designated locations.
This fee is usually included in the rates booked on this site and is applicable for bookings.

Rental Length
Q : What is the Rental Length?
A : Rentals are charged on a 24-hour basis. A 59-minute grace period applies to most rentals after which additional hours or days will be charged.

Additional Drivers
Q : Can I let other people drive the vehicle?
A : Yes, when they have presented their valid drivers licence and we have noted them on the Rental Agreement. If you let them drive before Executive Hire Cars approves them they are uninsured. Additional drivers on cash rentals must have a credit card.
Q : Is there an additional cost for extra drivers?

Fuel & Refueling
Q : Do I have to return the vehicle full of fuel?
A : No Executive Hire Cars offers a pre paid fuel option as well as a refuelling service
As a customer, you have a choice as to how you would like to pay for fuel.
You will be provided with two options, both starting with a full tank of fuel in your vehicle at the time of rental.
Option 1: Upfront Fuel
This option allows a renter to pay for the full tank of fuel at the time of rental and return the tank empty. No refunds will be given for unused fuel.
Option 2: Return Full or Pay
This option allows a renter to return the vehicle with a full tank of fuel or pay Executive Hire Cars at the end of the rental for fuel used but not replaced. Price per litre will be higher than local fuel prices.
Q : How much do you charge for fuel?
A : We do not charge for fuel however we do have a refuelling service for which we make a charge. The rate per litre for this service varies depending on the retail cost of fuel in the city where the vehicle is returned.

Child Seats
Q : Does Executive Hire Cars supply and fit child seats?
A : Executive Hire Cars can provide baby, child and booster seats for a small daily fee. Unfortunately Executive Hire Cars is unable to fit these for customers.

A : Executive Hire Cars has a no refund policy.

Accidents
Q : What happens if I am involved in an accident?
A : You should report the accident to Executive Hire Cars as soon as possible and certainly within 24 hours. Make sure that you get all the details of any third parties, witnesses and police that attend at the scene. Do not admit liability. If the Executive Hire Cars vehicle is not drivable and the police arrange for it to be towed make sure you get the name and contact telephone number of the tow truck company and if possible the registration number of the tow truck. As a general rule get as many details as you can and contact Executive Hire Cars immediately.

Area of Use
Q : Can I take the vehicle anywhere?
A : You will be asked at the time of rental where you intend using the vehicle. Generally the vehicle may not be driven further north than 500 kms from the Perth Metropolitan area nor on unsealed roads.

Breakdowns
Q : What happens if the vehicle breaks down?
A : All Executive Hire Cars vehicles are covered by 24-hour roadside assistance. The details of who to contact in the event of a breakdown are generally left in the glove box of your vehicle.
Q : What happens if I get a flat tyre?
A : Executive Hire Cars vehicles are all provided with a spare tyre and hirers are expected to change flat tyres. If they wish to use the roadside assistance service the charges will be passed on to them.
Q : What happens if I lose the keys?
A : Executive Hire Cars can provide a replacement key. The delivery time will depend on location and a fee will be charged. Renters commonly lock keys inside the rental car. As a friendly reminder - try and put the keys in your pocket immediately upon taking them out of the ignition. That way there is little chance of locking the keys in the car. If this does happen or you lose the keys, call Executive Hire Cars.

Returning your Vehicle
Q : What is expected when returning the vehicle?
A : Give yourself ample time to return your vehicle. While we pride ourselves on expediting the return, you may still need a few moments.
The vehicle is expected to be returned in the same condition as rented to the customer. Normal wear and tear is expected.
The vehicle should be checked for damage at the time of return both by you and your return agent. If there is damage, you may be required to fill out a damage report.
Make sure to take a copy of the damage report with you for any insurance and/or credit card reimbursement procedures.
If special cleaning is required for whatever reason, a separate charge will be made directly to the customer to cover the cost of any cleaning and/or repair work required.

Upgrade
Q : Can i upgrade?
A : An upgrade is changing from the reserved vehicle category to a higher vehicle category.
Upgrades are offered at time of rental depending on vehicle availability. An additional charge may apply.
Upgrades are free for the next higher vehicle category if your reserved vehicle is not available.

Third Party Liability/Insurance
Q : What is Third Party Liability/Insurance?
A : Third Party Insurance offers unlimited indemnity in respect of third party injuries and property damage; Executive Hire Cars rates include TPI as required by law.

Responsibility for Rental Vehicle
Q : Who is responsible for rental vehicle?
A : Executive Hire Cars holds the renter responsible for the safe return of the rental vehicle in the same condition as it was rented, except for normal wear and tear.
Unless prohibited by law, a renter may be held responsible for all damages, including loss of use should the vehicle be damaged in an accident, stolen or vandalised. This is the case regardless of fault. The renter may also be asked to pay for the damage up to and including the total cost of replacing the vehicle in case of a total wreck or loss.
Be sure any estimated damage to the vehicle has been recorded properly before leaving the rental location.
